1. Introduction
Welcome to Partner Library Management ("Partner Library", "we", "us", or "our").
Partner Library is a library management platform designed to help libraries, library owners, staff and members manage library operations, member records, attendance, admissions, schedules, payments and related services through digital tools.
We respect your privacy and are committed to protecting personal information that you provide to us or that is generated through your use of the application.
This Privacy Policy explains what information we collect, why we collect it, how we use it, how it may be shared, how we protect it, and what choices and rights may be available to you.
2. Scope of This Policy
This Privacy Policy applies to:
- Partner Library mobile applications.
- Partner Library web services and websites.
- Library management features provided through Partner Library.
- Online admission and attendance features.
- Payment-related functionality provided through supported payment service providers.
This policy does not apply to third-party websites, applications, payment providers, advertising networks or other services that operate independently from Partner Library.
3. Information We Collect
Depending on the features you use and the role assigned to your account, we may collect or process the following categories of information.
3.1 Account Information
- Full name
- Email address
- Phone number, where provided
- Account authentication information
- User ID or account identifier
- Profile photo, where provided
- Account type or role
3.2 Library and Membership Information
- Library membership information
- Admission information
- Membership status
- Assigned desk, hall or seat information
- Membership start and expiry dates
- Payment or subscription status
- Library-related notes or records entered by authorized users
3.3 Attendance Information
- Attendance date and time
- Attendance status
- Library or membership identifier
- Information required to verify an attendance request
3.4 Online Admission Information
When a user submits an online admission request through an admission QR code or other supported admission feature, we may process information entered into the admission form, including:
- Name
- Contact information
- Profile information
- Membership or admission details
- Requested library or service information
- Information necessary for the library to review the admission request
3.5 Device and Technical Information
We may automatically receive limited technical information required to operate, secure and improve the application, such as:
- Device model
- Operating system and version
- Application version
- Crash and diagnostic information
- Approximate usage information
- Network and connectivity information
- Security and authentication events
We do not intentionally collect sensitive device identifiers such as IMEI or SIM serial numbers for advertising or general profiling.
4. App Permissions
Partner Library requests only permissions that are necessary for particular features of the application. Permission availability and behavior may vary depending on your Android version and device.
4.1 Camera
Camera access may be requested for scanning QR codes, including QR-based attendance and online admission QR codes.
We do not use the camera to continuously monitor you.
4.2 Bluetooth / Nearby Devices
Bluetooth or Nearby Devices access may be used for supported library security and attendance verification features, including detection of a configured Bluetooth Low Energy (BLE) beacon.
Bluetooth access is used only when the relevant feature requires it.
4.3 Notifications
Notification permission may be requested to provide important application alerts, admission updates, attendance-related notifications, reminders, account information and service announcements.
4.4 Internet Access
Internet access is required to authenticate accounts, synchronize information, communicate with our backend services and provide cloud-based features.
4.5 Storage / Photos
Where supported by your device and operating system, access to photos or files may be requested when you voluntarily choose to upload a profile image or another supported image.
We do not access your personal files or photos unless the relevant feature requires it and you provide the required permission or select the content yourself.
5. How Information Is Collected
Information may be collected through:
- Account registration
- Profile creation or editing
- Library admission forms
- Online admission QR codes
- Attendance actions
- Payment transactions
- Application usage
- Customer support communications
- Device diagnostics and crash reporting
6. How We Use Information
We use information only for legitimate purposes related to providing, maintaining, securing and improving Partner Library.
- Create and manage user accounts.
- Provide library management functionality.
- Manage members and admissions.
- Record and verify attendance.
- Assign desks, halls or seats where applicable.
- Send admission, attendance and service notifications.
- Process or verify payments through supported payment providers.
- Prevent unauthorized access and misuse.
- Detect, investigate and prevent fraud or security incidents.
- Diagnose crashes and technical problems.
- Improve application performance and reliability.
- Provide customer support.
- Comply with applicable legal requirements.
7. QR Code & Attendance
Partner Library may provide QR-code-based attendance functionality.
When you scan a library's attendance QR code, the application may process the information necessary to determine whether the attendance request is valid and whether you are authorized to mark attendance.
Depending on the library's security configuration, attendance may also require additional verification such as a configured BLE beacon or other supported security mechanism.
Attendance records may include the date, time, member/account identifier and library-related information required to maintain the attendance history.
8. Bluetooth / Beacon Verification
Some libraries may use a Bluetooth Low Energy (BLE) beacon to help confirm that attendance is being recorded from an authorized physical location.
When this feature is enabled:
- The application may scan for nearby supported BLE beacon signals.
- The application may compare beacon information with the library's configured verification information.
- The scan may use signal strength information (RSSI) to determine whether a detected beacon is within an acceptable verification range.
BLE verification is intended to validate proximity to the configured library environment. It is not intended to continuously track your physical location.
9. Online Admission
Partner Library may allow libraries to publish an admission QR code that users can scan to submit an online admission request.
Information submitted through an admission form is provided to the relevant library or organization for the purpose of reviewing and processing the admission request.
The library may accept, reject, edit or otherwise process the admission request according to its own operational policies.
10. Payments
Partner Library may support online payments for library memberships, subscriptions or other services.
Where a third-party payment provider such as Razorpay is used, payment processing may take place through that provider's systems.
We do not intentionally store complete card numbers, CVV numbers, UPI PINs, passwords or other payment authentication credentials on our own systems.
Payment providers may independently process payment-related information according to their own privacy policies and applicable laws.

11. Notifications
Partner Library may use push notification services to deliver:
- Admission status updates
- Attendance-related alerts
- Membership reminders
- Payment or subscription notifications
- Important service announcements
- Security-related notifications
You may control notification permissions through your device settings, subject to functionality that requires essential service notifications.
12. Cloud Infrastructure & Service Providers
Partner Library uses secure third-party cloud infrastructure and service providers to provide essential application functionality, including account authentication, secure data storage, data synchronization, push notifications, application diagnostics and security-related services.
These service providers may process limited personal and technical information on behalf of Partner Library as necessary to provide, maintain and secure these services.
We require service providers to handle information only for the purposes necessary to provide the relevant services and in accordance with applicable security and privacy requirements.
Partner Library does not sell users' personal information to third-party service providers.
13. Advertising
Partner Library may display advertisements to users who use the application without an active eligible subscription that provides an ad-free experience.
Users with an active eligible paid subscription may receive an ad-free experience for the applicable subscription period.
When advertising is enabled, third-party advertising providers may process certain device, advertising and usage information for the purpose of displaying, measuring and improving advertisements, in accordance with their applicable privacy policies and platform requirements.
The information processed by advertising providers may include information such as advertising identifiers, device information, approximate location where permitted, application information and advertising interaction data, depending on the advertising provider and the user's device or privacy settings.
Partner Library does not sell users' personal information to advertisers.
Advertising availability and the ad-free experience may depend on subscription status, application version, platform, region and the applicable subscription plan.
14. Data Sharing
We do not sell personal information.
Information may be shared or made available only where reasonably necessary to provide the service, operate the platform, process transactions, protect users, or comply with legal obligations.
14.1 Library Owners and Authorized Staff
Information entered into a library account may be accessible to the library owner or authorized staff according to their assigned permissions.
14.2 Service Providers
We may use trusted technology and service providers to operate the platform, such as cloud hosting, authentication, database, notification, analytics, crash reporting and payment services.
14.3 Legal Requirements
We may disclose information when reasonably necessary to comply with applicable law, legal process, court orders, governmental requests, or to protect the rights, safety and security of users and the platform.
15. Data Security
We take reasonable technical and organizational measures to protect personal information against unauthorized access, alteration, disclosure, misuse or destruction.
Depending on the type of information and service involved, security measures may include:
- Encrypted network communication
- Authentication and access controls
- Role-based authorization
- Database security rules
- Secure cloud infrastructure
- Security monitoring and logging
- Application security controls
- Regular software updates
However, no electronic transmission or storage system can be guaranteed to be completely secure. We therefore cannot guarantee absolute security of information.

We retain personal information only for as long as reasonably necessary to provide the requested services, maintain legitimate business and operational records, resolve disputes, enforce agreements, prevent fraud, or comply with legal obligations.
Retention periods may vary depending on the type of information, the purpose for which it was collected and the requirements of the applicable library or service.
17. Account & Data Deletion
Users may request deletion of their Partner Library account and associated personal information, subject to applicable legal, contractual and legitimate operational requirements.
Where an in-app account deletion option is provided, users can use that option to initiate deletion.

Some information may need to be retained where required by law, necessary for fraud prevention, payment reconciliation, dispute resolution, security or other legitimate purposes.
18. User Rights
Subject to applicable law, users may have rights regarding their personal information, including the ability to:

- Request deletion of eligible personal information.
- Withdraw consent where processing is based on consent.
- Request information about how personal data is processed.

19. Children's Privacy
Partner Library is primarily intended for library management and related services and is not specifically designed as a child-directed application.
We do not knowingly request or collect personal information from children for purposes unrelated to the services provided.

20. International Data Processing
Depending on the cloud infrastructure and third-party services used, information may be processed or stored on servers located outside your state or country.
Where applicable, we take reasonable steps to ensure that such processing is carried out in accordance with applicable privacy and data-protection requirements.
21. Third-Party Services
Partner Library may integrate with third-party services to provide specific features.
Examples may include:
- Cloud infrastructure and service providers
- Google Play services
- Payment service providers such as Razorpay
- Advertising providers, where enabled
- Other infrastructure or service providers required to operate the platform
These third parties may process information according to their own privacy policies and terms. We recommend reviewing the applicable third-party privacy policies before using their services.
22. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, legal requirements or data-processing practices.
When we make material changes, we may update the "Last Updated" date and, where appropriate, provide additional notice through the application, website or other reasonable communication channels.
Your continued use of Partner Library after an updated policy becomes effective means that you acknowledge the updated policy, subject to applicable consent requirements.
